Check-Ins
Check-ins provide an informal work review between managers and workers. Check-ins require less setup than a formal worker review and feedback event. You can launch a check-in on both your desktop and the Workday mobile app.
A check-in requires two participants: the user who creates the check-in and the user who receives the check-in. Both workers and managers can initiate a check-in.
Creating a Check-In
Participants can create unlimited check-ins as long as each check-in has a unique date. Check-in dates can be in the past or in the future, providing flexibility to document past meetings or plan for future ones. Participants can change the date at any time.
You can create only one check-in for a given date between two participants. For example, if you are a manager, you can create one check-in per date between you and each of your workers. If you are a worker, you can create one check-in per date between you and your manager.
If you are a manager, access the View Check-Ins report to view the check-ins for your workers.
1. Click on Menu at the top, left of the screen and select Team Performance. Click on Start Check-In in the Check-Ins and Feedback box.
2. Select the worker you would like to have your check-in with and click OK.
Note: Once you create a check-in, the options to Edit or Delete this check-in are available to you from the same report. If someone else initiated a check-in, these options are not available. You can also archive all existing check-ins or topics from this report.
3. Select Create Check-In.
4. Select the Notify Participant checkbox (Optional). Workday will send a notification to the worker that you have created a Check-In when you finished.
5. Enter a Planned for date. Remember that you can change this date at any time.
6. In the Description field, fill in the reason for the check-in.
7. In the Attachments section, add any files that may be relevant (Optional).
8. To include a specific topic for the check-in, go to the Manage Topics section and select the Add icon to include a new topic.
9. If you participated in prior check-ins with the identified participant, you could select from previous check-in topics under Select Existing Topic. Otherwise, you can enter a new Topic Name.
10. In the Shared Notes section, enter any notes you would like to share with the participant.
11. In the My Notes section, enter any private notes. These notes are only visible to you.
12. After adding any topics, notes, or attachments, select Save to create the check-in or to send the check-in to the participant.
Viewing Check-Ins
1. An employee will be notified of a scheduled check-in via Workday notifications. They can view the check-in to see the date and topic.
2. From View Check-In, they can click on Edit to add Shared Notes or My Notes. The manager will be notified of any edits made to the check-in.
3. Once a check-in has been created, you can navigate back to the scheduled check-in via the employee’s profile.
4. Click on Actions, then Talent, and then select View Check-Ins.
5. Click on Edit in the Actions field to make notes during the scheduled check-in. Once finished, click Save. The employee will receive a new notification alerting them that there were changes made. They can, again, add notes if desired.
6. Once a check-in has been completed, you can archive it by selecting the Archive Check-Ins button on the View Check-Ins page. Select the check-in you wish to archive and click OK.
